Appointment Policies at Covenant Care Pediatrics
At Covenant Care Pediatrics, your time matters—and so does your child’s health.
We’re committed to providing outstanding pediatric care in a way that respects your busy life and values the time and needs of every family we serve. That’s why we’ve designed our scheduling system with your convenience and care in mind.
✅ What Makes Our Scheduling Different?
We use a system called open-access scheduling, which means:
- Same-day sick visits are always available.
- Well check-ups and sports physicals are often available within just a few days.
- Wait times in our office are usually 5–10 minutes.
This works because we carefully plan our schedule—and because our families work with us to arrive on time and communicate when things change. Thank you!
💬 Key Appointment Guidelines
- Appointments Are Required
- All visits must be scheduled in advance.
- If you walk in without an appointment, we’ll do our best to offer the next available time that day. We may not be able to see your child immediately, and an additional charge may apply if the visit is added urgently.
- Running Late? We Understand.
- Please call us if you’re running late. We’ll do everything we can to help.
- If you arrive more than 10 minutes late, your appointment may need to be rescheduled.
- If your child is sick, we may be able to “work you in” later that day, though wait times may be longer and time with the provider may be shorter.
- Need to Add a Sibling?
- Please call ahead so we can check availability.
- If you ask to have another child seen at the time of your visit, we’ll offer the first available opening. Depending on the schedule, this may be later in the day, and a walk-in fee may apply.
- Peak Illness Season
- During especially busy times (like flu season), we may need to shorten visits or focus only on urgent concerns. We always do our best to meet your child’s needs as quickly and thoroughly as possible.
- Insurance Updates
- Please notify us of any insurance changes before your appointment.
- If we cannot verify your insurance in advance, we’ll ask for payment at the time of your visit or reschedule your appointment.
❌ Missed Appointments and Cancellations
Every appointment is time we’ve set aside just for your child—whether it’s a 30-minute check-up or a quick sick visit. When an appointment is missed or canceled without notice, it affects other families who need care that day.
Here’s how we manage missed appointments:
- Please give at least 24 hours’ notice if you need to cancel or reschedule.
- Missed appointments without notice may result in a no-show fee, depending on the type of visit.
- Repeated missed appointments may result in dismissal from our practice. If this happens, you’ll be notified and given 30 days to find a new provider. During that time, we will continue to care for your child if they are sick and need urgent care.
- If you’re having trouble with transportation or other challenges, please let us know—we’ll do our best to work with you.
